Clearing Documnets under BDs

Question: Hi All,
How do we clear documnets under Business Document Store and also when does the BDS get cleared automatically?

What happened recently, was, I have created workbooks for our users under a role and users will open workbooks and then click on the refresh to select a new criteria. It worked fine for a month. Suddenly, one day when users are trying to access the workbooks they are getting an error message:

This document does not exist in the BDS (Business Document Store)

There is a program to remove workbooks that are no longer referenced: RSWB_ROLES_REORG.

I can't explain how the workbook could be removed while it is still referenced.

Can you elaborate on "no longer referenced workbooks".
What I have done was, we moved the queries and workbooks from DEV to PRODuction using transports.
Can't we do this?

I made the workbook changeable in production. So, I ran the query again and executed it so that it generates a workbook and I saved that workbook under that role. I open for a couple of times. After that again when we try to open it, it says that the "workbook is not available in the BDS(Business Documnet Service).

This is urgent.

It sounds like a bug, there's nothing odd about what you are doing. I've never read a detailed explanation of how the BDS works but it seems that when you delete a workbook in the Browser you are actually only deleting a shortcut. Sometimes you get a message 'Do you want to delete the last reference to this workbook?'. The program I mentioned allows you to remove workbooks from the BDS when they are no longer referenced.
