Non-SAP guy with a SAP interface question

Question: Hi,
As stated, I have a question about getting data out of SAP to another app. The basic question is - How does SAP know that the data should be made available to the other app? I (think) I understand that if I'm using XI, the mechanism is designed and installed as part of the exchange server processing, but what if I'm not using XI? Again, I think I understand the mechanism (IDOCS or BAPIs), but my question is how does SAP know that the data should be made available? For example, if I want to transmit customer data to a 3rd party app, but not product data, what makes SAP do one but not the other. And please remember, I'm not a SAP guy, so words of one syllable in the reply, please.

Answer:
SAP IDocs generally use an Output Record to judge when they should be triggered (the same mechanism which is often used for automatic hard copy printing etc.), this triggers an Output Routine which is linked to the Process Code for the IDoc.

Along with the configuration around the IDoc partner (external system / customer / supplier etc.) this causes the IDoc to be transmitted.
