Question:
Hi,
Please can someone help me with this issue that is to do with workflow admin of SRM tasks.
At my client site, a Shopping Cart approver may suddently fall ill and will not have had the opportunity to set the Substitute rule that allows them to auto forward and delegate approvals in there absence.
Are there any roles available in SRM that allow a user (systems admin person) to be able to access the Approval Inbox and reassign SRM tasks to other approvers instead?
Any info would be appreciated. My client is using SRM 4.0.
Thanks,
Pooja
Answer:
Yes, you should assign a substitute to the sick user. You should be able to assign a substitute right from the approval inbox. There are two types of substitution available - active substitution, and passive substitution. You might find more comprehensive information about this topic in a Workflow reference. But what you are looking for exists in the standard SRM system, and it is call "substitution" -

Answer:
Hi Jim
Thank you for responding. If the end user cannot access the system in order to set the substitute rule, does the admin person have any roles available, so that they can do this for them instead?
Thanks. P.

I believe the only way is for the person in question to activate the substitution. I'm sure there is a technical workaround that can be dont by a workflow administrator.

Answer:
Maybe a bit late on this.
I have experienced the same thing you described when a user was involved in a car accident on his way home from work.
I know this is a big no no in the SAP world but we did a direct entry via debug on table HRUS_D2.
If you don't know how this is done then I will not reveal bad practises, but if there is a Techie around I am sure they will be able to do it for you in cases of extreme emergencies, may I put an emphasis on extreme emergencies!!!!
Answer:
As an admin user, you can use the following transactions
SWi5, to see what a user has in their inbox
SWiA to foward the work item to another user

Answer:
The best business practice in this case is to maintain a company policy of having an active and a passive substitute for each and every EBP approver. This should tie in with delegation / manual of authority which should be regularly reviewed and amended by Finance / OR the audit control department (All this really depends on how the organization is setup.)

AA
